The Manage Orders landing page is where you can bulk download MARs and Physician Orders or quickly locate a resident's specific order page. On a resident's Manage Orders page is where Routine, PRN, Treatment, and Informational order details are viewed or edited. A variety of other tasks related to the orders or vitals entry can also be performed from this location.
Before you begin: Security Permissions
Users must be provided specific security role permissions in order to have access to the Manage Orders page, and updates to permissions requires an ALIS team member to complete. There are two levels of access in which a user can interact with the Manage Orders page:
- Manage Access (complete access to edit orders and complete other administrative functions), or
- View Only Access (restricted to only viewing order details).

Access Manage Orders
There are a few ways to access a resident's Manage Orders page:
Medications dropdown menu > Manage Orders.
Select a resident from the dropdown menu, then click the Manage Orders button to navigate to that person's page.

- Users with Manage Access will have additional buttons for bulk applying community informationals and managing Physician Order documents.
Resident or Applicant profile
Users with access can click the Manage Orders button beneath their profile photo.
On medications pages
On Pass Meds, Administer PRNs, Pharmacies, and Medication-related reports, you can click on the linked resident's name to go directly to their Manage Orders page.
Manage Orders landing page
From the landing page you can generate MARs and Physician Orders for several residents at once. Depending on your permissions and settings, you may also see buttons for Community Informationals and e-Sign Physician Orders. You can also download these documents for an individual resident from their Manage Orders page.
MARs
A MAR shows each order's details and all vitals checks recorded on Pass Meds. From the landing page:
- Print Filled MARs generates a MAR of current orders with existing administration records (staff initials).
- Print Unfilled MARs (also called Blank) generates the same MAR with no administration records, for documenting on paper.
A key at the top of each MAR page lists the full names behind the staff initials and explains each symbol:
- Not Recorded: the order was scheduled but never recorded (a "hole" on the MAR). Displays as a dash.
- Not Scheduled: the order was not scheduled for that date or time. Displays as an X on a gray background.
- Exception: a refusal or other reason the resident did not take the medication. The reason and notes display below the order. Displays as an exclamation mark on a red background.
- Self Administered: displays as a small person icon on a blue background. These orders do not display on Pass Meds.
- On Leave Meds Packaged: the order was scheduled while the resident was On Leave and marked as having some doses packed. Details appear at the end of the MAR when the resident returns. Displays as a filled black circle on a yellow background. See How to Set a Resident "On Leave".
- On Leave Meds Not Packaged: the same, but with no doses packed. Displays as an unfilled circle.
- On Hold: the order is on a temporary hold. Each held administration time displays as an uppercase "H" on a gray background. A held routine or PRN medication also displays an amber "ON HOLD SINCE" label with the date the hold began on the current month's MAR, including the Emergency Packet and other MAR documents. Physician's Order Reports
A Physician Order (PO) shows scheduling, dosage, instructions, and related diagnoses for each order, plus vitals checks recorded on Pass Meds. From the landing page:
- Print Current Physician Orders lists the resident's active orders. Choose Print All, or Select Meds to Print to pick specific orders (grouped by prescriber).
- Print All Physician Orders requires a date range and includes all orders active during that range, including discontinued orders if applicable.
The PO document also includes:
- Prescriber column showing the prescriber for each Routine, PRN, and Treatment order.
- Service Level label on any medication set to something other than Administer Routine, for example Assistance, Self-Administer, or Third Party. To change the default Service Level globally, see the Medications Settings Guide.
- Diagnosis information below the order name, shown only when added to the order's Diagnosis field. See How to Edit Medications, PRNs, and Treatments.
- New Orders section on the final page for prescribers to write new orders.

Top of page functions
The top of a resident's Manage Orders page holds quick-access buttons, with tabs below for order and vitals details. Use the menu at the top right to move between residents. Available buttons depend on your security role.
- Current MAR: view and print the current month's MAR.
- Past MARs: select one or more previous months to view.
- Edit MAR: update information on MAR documents (permissioned users only). See How to Edit a Resident's MAR. Without Edit MAR access, recent records can be corrected in Med Pass History.
- Blank MAR: generate a MAR with no administration records, for documenting on paper.
- Physician Orders: Print Current or Print All Physician Orders for the resident.

- Hold All Meds & Treatments and Hold All PRNs place all orders on hold so they do not display on Pass Meds until the hold ends. The schedule can be edited. See Medication Holds.
- Disable All Meds & Treatments and Disable All PRNs remove all orders from Pass Meds. Best practice is to use Hold instead.
- View Pharmacy Contact: view the resident's pharmacy contact. If nothing appears, the contact has not been added to the profile or does not exist in Community Contacts. See Resident Contacts Reference Guide.
- Med Cart: set or reset the resident's assigned med cart. Options appear only if added in Medications Settings. See Med Carts.
Page tabs
Manage Orders opens on the Orders tab. Use the other tabs for order troubleshooting and vitals.
Orders tab
Displays the resident's current Routines, PRNs, Treatments, and Informationals. Use the panel on the left to jump to each order type.
- Routines & PRNs: All medication orders. With a pharmacy connection, active orders processed from the Pharmacy Inbox appear here. Manage Access users can manually +Add Routine, +Add PRN, or Edit orders. The Routines and PRNs sections include all of the medication orders for your residents. See How to Manually Add a New Medication.
- Treatments: Scheduled non-drug orders that show on Pass Meds, such as vitals checks, oxygen, and wound care. Treatments must be added manually and have no Routes or Doses. See How to add Treatment orders.
- Informationals: Orders that appear on Physician Orders documents but need no administration records, such as statements required by your state license or a doctor's recommendation. Common types include Dietary, Code Status, Immunizations, Lab Orders, and Ancillary Orders. See Guide to Informational orders.
DC/Changed tab
The Discontinued / Changed tab shows any DC'd orders that you have processed from the pharmacy inbox or orders that were updated and you either processed or mapped to an existing order.
Wellness Vitals tab
Record, track, and schedule vitals for Temperature, Weight, Blood Pressure, Blood Glucose Level, Pulse, Oxygen Levels, Respiration, and Height. Vitals recorded elsewhere in ALIS also appear here.
- Click Track Vital to enable tracking, set an optional Range and Admission date, and use View Past Vitals to see a graph at 30, 60, or 90 day intervals.
- Click Schedule to set up vitals your team records on the Record Vitals page.
💡Tip: Many communities add scheduled vitals as Treatments instead, so they appear in Pass Meds and staff document in one place. See Recording Vitals.
Audit tab
Review every add, edit, and discontinuation for the resident's orders, along with all vitals records. To find an order's history, type the first few letters of its name in the Notes search bar and click the magnifying glass.
Order Messages History tab
Contains all Routine and PRN order history from your pharmacy connection. Use the filters to locate orders. The Outcome column shows actions taken by a user (for example, Read and Dismissed) and by ALIS (for example, Overridden).
Options menu (per order)
The Options button on each order lists actions that vary by your community's settings and your security role:
- Edit MAR: open the Edit MAR page for that order. See How to Edit a Resident's MAR.
- eFax Refill: submit a refill request to your pharmacy or prescriber. See eFax Refills.
- Request Resupply: submit refill requests directly to your pharmacy's software without fax, if configured. See Request Refills directly through your Pharmacy Integration.
- Schedule Hold: schedule a med hold; the order leaves Pass Meds until the hold ends. See Medication Holds.
- Discontinue: confirm and enter a reason to discontinue the order. Discontinued orders appear in the DC/Changed tab and can be cloned. See Discontinuing Medications.
- Disable Routine, PRN, or Treatment: remove the order from Pass Meds with no scheduling. Use Schedule Hold instead when possible.
- Replicate Across Residents: copy the order to other residents' MARs, most often for vitals-check Treatments. See How to Replicate Orders and Vitals Across Residents.
- Clone: duplicate an order and optionally change its type between Routine, PRN, and Treatment, for example to create a PRN from a routine. Discontinued orders can also be cloned. See Clone a Medication, Treatment, or PRN .
- Enable Drug Counting: add the order to the drug count (if Drug Count is on). Choose Create New Account and enter the quantity on hand. See How to Enable Medications for the Drug Count.
- Disable Drug Counting: remove the order from the drug count.
- Edit Drug Count Link: link or unlink the order's quantity to another order's quantity. Uncommon; used when one package serves both routine and PRN administration.
- Link to Drug Database: search for and link the order to the drug database (if Drug Database is on). See ALIS Drug Database Reference Guide.
- Edit Drug Database Link: relink an order to a different database entry to correct a name or NDC.
- Delete Drug Database Link: remove the order's database link. Rarely used.
- Delete: remove the order from the MAR and med pass. Orders with elapsed administration times cannot be deleted; discontinue them instead.
