The Schedule Leave feature allows you to temporarily remove a resident's tasks from the Care Tracking and Pass Meds pages when they are away from the community for a short duration and marked as "Off Premise" on their profile. Resident Leaves are officially recorded on the resident's MAR and within ALIS reports.
Resident Leave policy
It is recommended to determine an internal policy for when residents should be marked On Leave. A common policy is to schedule a resident's leave if they will be away from the community long enough to miss a med pass. When a resident is "On Leave", you will see the words "Off Premise" throughout ALIS.
Configure On Leave settings
There are a few customization options for the "On Leave" feature, and these configurations are managed in your Resident Settings. Contact your Account Manager or our ALIS Customer Success Team for help.
General Settings
- Enable Auto On-Premise (Default: On) - Automatically marks the resident On Premise at the return date and time, if one has been set. Set the return date/time when scheduling the leave, or edit it later in the Resident Leaves section of the profile.

Resident Return from Leave: Reschedule Medications for the entire Shift (Default: Off)
- Off: Only medications scheduled after the specific return time will appear in Pass Meds.
- On (medications packed and returned): Upon return, the entire shift's medications will appear in Pass Meds.
- On (medications packed and not returned): Only medications scheduled after the specific return time will appear in Pass Meds.
- On (liberally-scheduled orders): Functions as if all medications were scheduled at the time of return (all will appear in Pass Meds).

Resident Return from Leave: Reschedule Care Tracking for the entire Shift (Default: Off)
- Off: Only tasks scheduled after the specific return time will appear.
- On: Tasks for the entire current shift will appear, allowing staff to document items retroactively if needed.
On Leave Reasons and On Leave Destinations
ALIS provides an auto-generated list of reasons and destinations options, however you can disable any of these preexisting options and create new ones to have a full customized list. The list you configure in settings determines the dropdown options to select when marking a resident "On Leave."
Mark a resident On Leave
- On the resident's profile (or from the All Residents page), click Schedule Leave at the top right.
- In Select Leave Duration, set the leave parameters:
- Leave Information: On Leave Start Date, On Leave Start Time, Reason for Leave, and Leave Destination are required. On Leave Return Date and Time is optional; if set, it appears on the profile and Facesheet and can trigger Auto On-Premise.
- Medication Packaging Preferences: Choose whether to pack routine medications and PRNs.
- Click Process Dates for Leave.
- If you chose to pack medications, the View Impact of Leave section shows a downloadable Blank MAR and all active orders:
- Enter the Doses Needed for each medication. For orders tracked in the ALIS Drug Count, you will see "Quantity to decrease drug count."
- To skip an order, uncheck its box and select a reason for not packing it.
- Click Create Packet and Mark On Leave.
- The Confirmation section shows the scheduled leave. Click Return to Profile.
On the resident's profile, the status bar now reads Resident: Off Premise. Click Leave Packet to generate a PDF with the Facesheet, packaged medications, and MAR documents.
Mark a resident back On Premise
- On the resident's profile (or from the All Residents page), click Mark On Premise.
- In the pop-up, confirm the impact of the return:
- If you packed medications, indicate whether any were returned. For medications tracked in ALIS Drug Count, the returned quantity is required.
- Select Monitor Resident to expand options for placing the resident on monitoring, which is useful after a hospital stay. See the Resident Monitoring guide for more information.
- Click Done to mark the resident On Premise and reactivate their tasks in Care Tracking and Pass Meds.
Track Multiple Leave Destinations
This feature is currently limited-release enablement only. For more information, please contact your Account Manager.
When a resident moves between locations during a single leave (for example, hospital to skilled nursing before returning to the community), you can log each stop under the same leave instead of marking the resident On Premise between stops.
All destinations appear on the resident profile and carry through to the Leaves Report and Leave Packet, giving an accurate record of where the resident was for the full leave.
Add a destination during an active leave:
- On the profile of a resident who is currently Off Premise, go to the Leave Information section.
- Click + Add Destination.
- In Edit Leave Destinations, click + Add Destination again to complete the new destination: Leave Reason, Destination, Start Date/Time, and optional End Date/Time and notes. Add optional Reason Notes per destination as needed.
- Click + Add Destination again to log further locations (if applicable), then click Save.
The current leave destination is visible on the profile snapshot:
Return from leave
Marking the resident On Premise closes the final destination and completes every record in the chain. Care items restamp once for the return. No billing events occur when you only change destinations mid-leave.
What to know about billing
Billing Center Leave-based billing rules account for the full destination chain: N-day rules sum the durations of matching segments, Return-from-Leave rules apply if any matching segment exists, and bed-hold spans from the origin start to the return. Single-destination leaves behave exactly as before.
