Once your building's floor plan has been built into ALIS, you can assign all resident profiles to their rooms. This provides the data needed for occupancy tracking, and allows your care team to organize their tasks by room number.
If your floor plan is not set up, it won't be possible to assign rooms. Contact your account manager or ALIS Support for help, or read this article to set up your floor plan: How to Configure a Community Floor Plan.
In most cases, you assign the resident's room upon move-in. After clicking the Move In button on an applicant's profile, one of the required fields to complete the move-in is the Room assignment.
Move In & Community Information
If you have a Current Resident profile with no room assignment, this is where you will assign their room.
Scroll to the Move In & Community Information section to see the Room Assignment information. Here we can update the following:
- Physical Move In Date
- Financial Move In Date
- Change the room assignment
- Assign a room
- Update the room assignment dates
Assign or Change Room
When you click the Change Room or Assign Room buttons, this navigates you to a new page where you can select their room from your ALIS floor plan.
Follow these steps after clicking Assign Room or Change Room:
- Find the resident's room on the page, which organizes all rooms by floor. Click anywhere in the room number's box.
- If a bed (represented as A, B, C, etc.) is gray, that means another resident profile is currently assigned to that bed.
- If it is green, it is unoccupied.
- Look to the right of the page to see the Room Details. This will show any residents who presently occupy beds in the room, and if any Prospect Profiles have a particular bed reserved.
- Click the Assign button next to your resident's bed.
- If you are changing their room, the button will say Change instead of Assign.
- In the pop-up, confirm the Room Assignment Start date and whether the resident will a primary or secondary occupant* of this bed. The box is automatically checked to Remove Room Reservations if the resident has any.
- Click Assign Room.
*Setting a resident as a secondary occupant (typically done for married couples) allows for appropriate occupancy reporting for couples. You can assign multiple people to a bed, but must designate one of them as a secondary occupant.
You will see any changes to the room assignment reflected in the Move In & Community Information section of the resident profile. If you have changed or corrected any room assignments, it is a good idea to review the room assignment dates and make sure they are accurate for your reports.
Click Show Resident Room History to see all rooms that have been assigned to your resident's profile. If there are historical assignments here, you can adjust the dates.
