This guide will help you fix duplicate contacts on a resident's profile or on your Community Contacts page.
Additionally, the Audit History section at the bottom of each Resident Profile will log when contacts are added or associated. It may help to review this to prevent future duplicate issues.
Duplicate Contacts on the Resident Profile
In the Contacts section of the Resident Profile, click the trashcan icon to remove a redundant contact. Here are some tips to make sure you delete the right one:
- Make sure you have all the important details on the contact you keep. You may need to copy and paste a phone number or address from the contact you will delete to the one you will keep.
- Most likely you want to keep Community Contacts, because these are easily associated with multiple residents. Read this article for more information about Community Contacts: How to Add Community Contacts.
Duplicate Community Contacts
On the Community Contacts page, you can easily see if the same contact is listed twice. Here we can Disable contacts, but not delete them. When you disable a Community Contact, this does not remove the contact from resident profiles associated with it.
It is recommended to first make sure you review the details of the contacts:
- Make sure you have all the important details on the contact you keep. You may need to copy and paste a phone number or address from the contact you will disable to the one you will keep.
- Carefully review the list of residents associated with the two contacts. If the one you need to disable has residents associated, follow these steps to associate them to the correct one:
- Click the name (or the Edit button) of the redundant contact. Scroll to the Associated Residents section.
- Make note of each resident who needs to be associated to the contact you will keep, and any Relationship Tags. Use the checkbox at the top left of the table to select all residents, and click the Disassociate Residents button. A pop-up will display to confirm.
- Go back to your Community Contacts page to confirm that the Associated To column displays "0 Residents".
- Click the Disable button to remove the redundant contact from view.
- Click the name (or the Edit button) of the contact you are keeping, and scroll to the Associated Residents section.
- Click the +Associate Residents button, and use the multi-select menu to associate all the residents who were associated to the duplicate contact.
