This guide explains how to use the Contacts Report to generate mailing labels for resident contacts. This is a simple way to print names and addresses onto label paper for mailing.
Download the Mailing Label Template
Before generating labels, you will need to download the template file.
- Click here and save this template file to your computer with the MS Word (.docx or .doc) file format.
Generate Mailing Labels
Step 1: Access the Contacts Report
- In ALIS, navigate to Reports.
- Locate the Resident section.
- Click Contacts.
Step 2: Apply Filters
Update the report filters so the report includes only the contacts you want to print (e.g., use the Contact Preference filter to show contacts who prefer Email & Mail, or Mail).
- Click Refresh to apply your filters.
Note: The Contact Preference filter is only effective if a preference has been selected on each contact’s profile. This setting can be found below the contact’s name when adding or editing a contact.
If you are unsure whether this has been set for all contacts, you can also include Unspecified in your filter.
Step 3: Generate Mailing Labels
- Click Generate Mailing Labels at the bottom right of the filters.
- A new section will appear below the filters.
- Click Browse in the Template field.
- Select the template file you downloaded earlier.
-
Optional: Select the checkbox “Print labels only for records with complete address information.”
- This is recommended to ensure all labels include full mailing addresses.
- If left unchecked, some labels may include only a contact’s name if no address is on file.
- Click the blue Generate Mailing Labels button.
Download and Print Labels
ALIS will generate and download a PDF file containing your completed mailing labels.
This file is formatted for standard label paper and is ready for printing.
