Compliance in ALIS is a system of electronic document completion and unlimited document storage. While this is primarily used for resident documents, ALIS offers a simple solution for managing staff documents that can be completed by staff themselves.
Your list of compliance items in ALIS is completely custom to your organization's needs, and we can work with you in the onboarding process to set up exactly which items you need available for each person.
- Compliance items can all be completed by uploading files from your computer, and if you send us your form templates, we can make them available to fill out online.
Compliance Items on My Account
For staff to complete compliance items, we can make specific documents editable for them on the My Account page.
To set up compliance items to be fillable by staff, go to Settings > Staff.
In the Compliance Configuration section you can create new or update existing items. Learn more about these settings in this article: Compliance Settings.
- For each item you want available for staff to complete, click +Create Compliance Item or click Options > Edit.
- Below the Description field, find the menu that says "Is this document shared in My Account?". The options are Never, View Only, and Editable.
- View Only restricts staff to either view a completed version of the document that was done by an administrator on their staff profile, or view a blank version of the form template if available.
- Editable allows staff to upload and fill online the form template themselves.
- Once you have made a selection, choose one of the Update options and click Submit.
Once you successfully enable items for the My Account page, staff will have the options to view and complete documents within a simplified compliance table, similar to the Compliance section of the staff member's profile.
You and your team can subscribe to the ALIS alert "Completed compliance forms in My Account" in the Staff alerts category. This will generate an alert when a staff member completes one of their compliance items on the My Account page. Read more about alerts here: How to Manage ALIS Alerts.
Compliance on Staff Profiles
Find the complete list of Staff Compliance Items in the Compliance Summary section of a staff member's profile. Use the Choose File button to upload documents, or the Fill Online button to fill out form templates where available.
