This guide explains how to grant, monitor, and manage user access for ALIS Connect. Whether you need to invite a new family member to the portal or disable access for a previous contact, all user permissions are handled through the Connect Center or the Resident Profile.
Grant Connect Access to New Users
You can grant ALIS Connect access to residents and their contacts from two primary locations: the Connect Center (recommended for managing multiple users) or directly from a specific Resident Profile.
From the Connect Center:
- Using the Dashboard icon or the Residents dropdown menu, navigate to the Connect Center > Access tab.
-
Click the Manage button on the far right to go to a 'Manage ALIS Connect Access' page for the specific resident.
Note: If you just need to send the registration email to a resident, click the Send Invite button in the Resident Access column.
-
On the 'Manage ALIS Connect Access' page, and review the list of contacts.
Note: If a contact is missing, click the resident's name to return to their profile and add the new contact first.
Click Send Invite on the far right.
-
In the pop-up that appears, complete the necessary details:
Email: Review or type the recipient's email address. Any email already saved to the contact profile will pre-populate in this field.
-
User Profile: Select what access you will grant to this contact.
User Profiles (the specific permission sets for Evaluations, Invoices, Medications, etc.) are configured in ALIS Connect Settings.)
Confirmation: Select the checkbox to confirm that this user is authorized to view the resident's sensitive information.
Click Send Invite to immediately trigger the registration email.
Once the invite has been sent, the Profile column will display the 'Invited' status, invitation timestamp details, and a notification that the "Invitation expires in 30 days":
From the Resident profile:
- Scroll down and expand the Contacts section.
- Click the Connect Access button. This will redirect you to the Manage ALIS Connect Access page for that resident.
- Once on the 'Manage ALIS Connect Access' page, follow the same above steps 3 and 4.
Manage Existing Users
Once a user has been invited, their status will update to 'Connected.' You can manage their account at any time by returning to the Manage ALIS Connect Access page and clicking the Options dropdown menu next to their name.
Edit Profile: Update the contact's Username or associated Connect Email, or change their assigned User Profile to adjust their permission levels.
Disable Access: Immediately revoke the user's ability to log in to ALIS Connect. This could be useful if a family member is no longer involved in the resident's care or bills pay.
Reset Password: Help a user regain access if they are locked out. You can either send an Automatic password reset email or manually reset a temporary password.
Send Login Link: If a user has forgotten the web address for the ALIS Connect portal, use this option to email them the direct URL to the login page.
-
Resend Invite: If the user never received or cannot find their initial registration email, use this to send a fresh invitation link.
Tip! You can verify the delivery status of your invitations by clicking the View Email Statuses button at the top right of the Access tab to navigate to the Email Center.
Audit
You can audit exactly who has access to your community's data via the ALIS Connect User Access tab.
Click the Export to Excel button to download a comprehensive report of all residents and contacts, complete with their current ALIS Connect access levels (User Profile) and contact details. This file is supports monthly audits or compliance reviews.
