The option to lockdown your staff logins based on IP address allows you to prevent staff from logging in to ALIS when they are outside of the building.
FAQs
What is an IP address?
For ALIS purposes, we are referring to your public IPv4 address. Simply put, this is the number that identifies your internet connection at the building. It is possible to have multiple IP Addresses per building if you have different routers for different areas. We can set up as many in ALIS as you need to cover the internet access in your building.
How do I find my IP address?
The easiest way to find your IP address is actually just going online and asking Google! Here is a good website where you can find the public IPv4 address your computer is using to access the internet: https://whatismyipaddress.com.
What does it mean to 'whitelist' my IP address?
Whitelisting your building's IP address(es) means making ALIS inaccessible to all other IP addresses except the ones we want. This means if someone attempts to log in to ALIS using internet somewhere else (their home, their 5G phone network, the local library, etc.) they will not be able to do so. That person can only log in to ALIS using the addresses you choose to whitelist.
Are ALL users prevented from accessing ALIS outside of the whitelisted IP addresses?
Once you have whitelisted IPs for your company all staff member profiles will automatically be restricted to accessing ALIS only from those IP addresses. However, you have the ability to enable or disable the Lock Login by IP per staff member's profile. This guide outlines the process.
Set up Login Lockdown by IP Address
It is necessary for an ALIS team member to turn on the entitlement feature for your organization. For assistance with enabling the entitlement, contact your Account Manager or our ALIS Customer Success Team.
- Once you know your IP address(es) that you need for your building, go to Company Settings in ALIS. Find the section Whitelisted IPs.
- In this section, individually add IP addresses clicking the Add Specific IPs button. This opens a pane from the right of your screen in which you paste your IP address there with a description. (Tip: use the description field to nickname the IP address after a specific router or community for internal tracking). You can add as many IP addresses as needed for your organization. If you are doing this for multiple buildings, add them all in this location.
- Alternatively, you can click the Add Known IPs button to help you find IP addresses that have recently accessed ALIS for your communities to determine which is the most common IP for each community. It is still recommended to verify that these are correct. Click Save to 'whitelist' these addresses. You can always Edit or Delete them later if needed.
Unrestricted IP Login Access for Staff
Once all IPs have been added and logins locked per community, you need to determine which users should be able to access ALIS from any location. Typically this unrestricted access is reserved for company and community administrators or anyone whose role may require accessing ALIS from various locations. For these individuals, you need to a feature on their individual staff profile. Follow these steps for each staff member:
- Go to the Staff Profile either from the All Staff page or by searching for their name in the top right Dashboard search bar.
- Scroll down and click on the Login & Access blue bar. Toggle the option Lock by IP to Disabled.
- When disabled, this individual will be able to access ALIS from any internet location regardless of your Company and Community Settings.
- When disabled, this individual will be able to access ALIS from any internet location regardless of your Company and Community Settings.
-
Once you have configured staff, you must Lock Login by IP per community. First, navigate to Settings > Community. In the General tab, make sure the Lock Login by IP is toggled to On. Once this is turned on, all staff profiles are automatically updated to 'Lock by IP.' You will then have the option to disable the Lock by IP on per individual staff member. Do this for each community using the feature.
To test that your feature configuration is functioning properly, you can go somewhere out of range of your community's internet connection and attempt to login to ALIS with a profile that is Locked by IP.
