Use this guide to eliminate duplicate resident profiles efficiently and without the loss of valuable information.
Easily merge data from both profiles into a single, Primary profile. The profile you deem as non-primary will become a Rejected Applicant.
How to Merge Duplicate Resident Profiles
- First, navigate to All Residents and select one of the two duplicate profiles you wish to merge. Note that you can select either profile at this stage! In subsequent steps, you will be able to choose which profile to set as Primary and which one will become the Rejected Applicant.

Below the Resident profile photo, click the the Merge Resident Profile.
- If this button not available to you, it is likely due to a permissions limitation within your assigned Security Role. Notify your company administrator, or contact ALIS Customer Success for help!
ALIS will now guide you through a series of sections with clear steps towards completing this merging process:
Identify Accounts
Within the Identify Accounts section, your goal is to select the other profile that you need to merge. On the lefthand side, Account 1 displays the first profile you selected.
- Click on the Account 2 dropdown menu and select the name of the duplicate profile that you will merge with the Account 1 profile.
- Then, click the Go to Next Step button.
Select Primary Account
In the Select Primary Account section, you need to identify which profile will remain as active in your census and which profile will ultimately become a Rejected Applicant profile at the end of this process.

The Account 1 profile from the previous step defaults to the Primary account, and the Account 2 profile defaults to the Rejected Applicant. Should you want the Account 2 profile to be the Primary rather than the defaulted Account 1, click the Set as Primary button.
- You will have the option to merge demographic and clinical data within the Merge Data section, but note that Billing information cannot be merged. Therefore, it is recommended that you set the Primary profile to whichever one contains more billing information.
- Once you identify which profile is the Primary, click the Go to Next Step button.
Merge Data
The Merge Data section highlights existing data (Resident Information, Medications, Evaluations, Observations, & Incidents) from the profile that will become a Rejected Applicant. This step ensures you can choose whether or not you want to merge existing data from these categories into what has been set as your Primary profile.
- As you scroll down the page, you will see that ALIS automatically selects checkboxes for any data that currently exists on this duplicate account.
- ALIS automatically leaves items unchecked for any information that does not exist on that duplicate profile. If you are confident that you don't need certain information from this account, you can uncheck those boxes. You will have the opportunity to review the specifics of your selections in the next section.
- Click Go To Next Step.
Confirm Merge
In the Confirm Merge tab, you confirm the Primary account one last time and review every component of data that will be added to that final Primary profile.
- At the top of the page, verify that the selected Primary profile is accurate.
- Then continue to scroll down through Pending Merge, and review the data that will be pulled over into this Primary profile, shown as Will be merged.
- No details from the Rejected Profile will be added to the Primary Profile if it displays the Won't be merged status. If it appears there is a mistake with the details that should be merged, select the Go Back button at the bottom of the page to correct your selections.
- When your verification and review are complete, click Confirm Merge at the bottom righthand corner of the page.
Merge Complete
You have successfully merged your duplicate profiles! Be sure to click the Go To Profile button to review your new Primary profile.
The Rejected Applicant will exist in your records for reference, however it will be hidden from view and not affect your census in any capacity. To review that Rejected Applicant Profile, go to your All Residents page > Applicants tab > Status dropdown menu, and filter for Rejected.
