ALIS can export your billing transactions to your general ledger (GL) software. Setting up a GL integration takes one step completed by your ALIS Onboarding Manager and a short configuration completed by a community administrator in Billing Settings.
Before you begin
The GL tab and GL Transactions page require a specific security role permission. If you need access, contact your Account Manager or the ALIS Customer Success Team.
Step 1: ALIS enables the entitlement
Your ALIS Onboarding Manager enables the GL integration entitlement for your company. For QuickBooks, this is the "Quickbooks GL Integration" entitlement. This step is completed by ALIS and is required before the settings below appear.
Steps 2 to 6: Configure the integration
Once the entitlement is enabled, the ALIS team or a communitycompany administrator completes setup in Settings > Billing Settings > GL tab:
- Integration Type: Select your GL software partner from the Integration Type dropdown (for example, QuickBooks Desktop, QuickBooks Online, QuickBooks JE – IIF, Multiview, NetSuite, Sage 300, Yardi, Sage Intacct, or American Health Tech).
- Allow Restricted Close: Choose whether to allow Restricted Close. Restricted Close lets higher-permission users make changes during the final days of the month while restricting other users.
- Integration Start Year and Month: Set the month and year your GL integration begins.
- GL Transactions: Turn on GL Transactions.
- Submit: Click Submit on the pop-up to save your settings.
⚠️Important: Billing activity that would generate GL transactions cannot be posted to dates before your Integration Start Date, similar to posting to a closed period. Set the start date carefully. Periods before the start date keep their open, closed, or restricted status but are hidden from the ALIS interface.
Set your Export File settings
Depending on your integration, you may need to configure Export File settings so the correct information maps to your GL when the integration is enabled.
For example:
With a QuickBooks integration, you set the Customer (AR), Vendor (AP), and Class fields. Some of these values may first need to be set up in QuickBooks.
