Staff Training allows your community to schedule in-person training sessions, register staff to attend, send reminders, and record completion along with how much time each staff member spent in the session. Once a session is marked complete, it feeds the staff member's training history on their profile and rolls up to the Training Attendance report.
Enable Staff Training
Staff Training is available to every ALIS community by default. Visibility of certain actions (such as Send Reminder and Export to Excel) is controlled by user role permissions managed by your ALIS Account Manager.
To access:
Navigate to Staff > Training to open the Training calendar.
Schedule a Training Session
The Training calendar opens in Week view by default. At the top of the page, set the Community filter to the community you want to schedule for. Optionally, choose a Job Role to narrow the calendar to sessions relevant to that role.
- Click any empty time slot on the day you want to schedule the session. The Training Event Information modal opens with the date prefilled.
- Fill in the required session details:
- Start Time
- End Time (Defaults to one hour after Start)
- Title
- Trainer
- Location
- Click Save. The event now appears on the Training calendar.
⚠️Important: The new event is not yet attached to any staff. To register staff, send reminders, or mark training complete, you must click the event on the calendar and then View Details (see the next section).
Register Staff
Registration is done from the session's Training Details page, not from the calendar modal.
- On the Training calendar, click the event you previously saved. The Training Event Information modal reopens with the existing details.
- Click View Details.
- In the Registered Staff section, use the Select Staff to register dropdown to choose attendees.
- Click + Add to the right of the dropdown.
The selected staff immediately appear in the Registered Staff grid with a completion status (No / Yes), Registered By, and a Remove action for each row.
Once a staff member is registered, the session immediately appears in their staff profile under Training > Scheduled Training.
Send a Reminder to Registered Staff
Reminders are sent from the Registered Staff section of the Training Details page. The button is only visible to users whose role permits sending staff notifications.
- From the Training calendar, click the session and then View Details.
- In the Registered Staff grid, use the header checkbox or row checkboxes to pick who should receive the reminder.
- Click Send Reminder above the grid. Reminders are delivered through whichever notification channels your community has configured for staff alerts (e.g., email, in-app notifications).
Mark Training Complete
A staff member must be registered to a session before they can be marked complete.
- From the calendar, click the session and then View Details.
- In the Registered Staff grid, check the staff member(s) you want to mark complete. You can pick one, several, or all.
- Click Mark Complete above the grid. The Mark Training Complete modal opens.
- Enter Time spent (in minutes) and click Done.
Once you click Done, the session immediately appears in their staff profile under Training > Completed Training.
Reschedule or Edit a Session
The Training calendar supports drag-and-drop and resize.
Move to a different day or time
Drag the event to the new slot on the calendar. A Move Event confirmation modal appears. Click Yes to commit.
Shorten or extend a session
Drag the bottom edge of the event up or down. A Change Duration confirmation modal appears. Click Yes to commit.
Edit fields (title, trainer, location, etc.)
Click the event on the calendar, change the fields in the modal, and click Save.
You can also edit these fields from the Training Details page in the Training Information section by changing the values and clicking Update.
Remove an individual staff registration
On the Training Details page, in the Registered Staff grid, click Remove at the end of the staff member's row. This removes them from the session and clears their recorded time spent (if applicable).
Delete a session
Click the event on the calendar, then click Delete in the modal.
View a Staff Member's Training History
Each staff member's profile shows their scheduled and completed training in one place.
- Navigate to All Staff > click on the linked staff member's name.
- Scroll to the Training section on the profile.
- Expand Scheduled Training to see upcoming sessions where this staff member is registered and not yet marked complete.
- Expand Completed Training to see a year-by-year history. Each year shows Total Hours and CEUs in its header, with a table listing every completed session (Title, Date, Duration, Trainer, Location, Training Partner, Completed).
How CEUs are calculated
A CEU (Continuing Education Unit) is the standard measure used in senior living and many state regulatory contexts to count credit hours of continuing education.
ALIS calculates CEUs using a fixed 10:1 ratio, where 10 hours of completed training equals 1 CEU. For example, a single 1-hour session displays as Total Hours: 1, CEUs: 0.1.
This ratio is not configurable per community. If your state board uses a different ratio, treat the CEU column as informational and reconcile externally.
Training Attendance Report
The Training Attendance report provides a flat, filterable view of every staff/session combination which is useful for compliance documentation and surveys.
Navigate to Reports > Staff Reports > Training Attendance.
Use Export to Excel or Export to PDF at the top of the report. The Training Attendance report is set to only one community. To roll up across multiple communities, run the report per community and combine in Excel.
