ALIS HQ is enabled at the company level by default, but access to view dashboards is managed on a per-user basis. User access, community-level permissions, and audit history are all controlled in ALIS HQ Settings. This guide walks through accessing those settings and configuring user access across the three available tabs: Company Roles, Community, and Audit.
For assistance with HQ user configuration, contact your Account Manager or our ALIS Customer Success Team.
Acess HQ Settings
To access ALIS HQ Settings, navigate to Settings > General Settings > ALIS HQ.
ALIS HQ Settings are organized into three tabs:
- Company Roles- Manage HQ Role Access at the security role level (applies broadly across the company).
- Community - Manage HQ Role Access at the community level (applies to specific staff in specific communities).
- Audit - Review the history of access changes made in ALIS HQ Settings.
Company Roles tab
The Company Roles tab manages HQ Role Access at the company level. An HQ Role Access is a grouping of HQ dashboards visible to a particular set of users. These groupings are then assigned to your company's specific security roles.
Review Current Access
For each HQ Role Access, the tab shows:
- Staff Assigned: The total number of staff across your entire company who have this level of HQ access. Click the linked number to expand a right-hand panel showing exact staff names per community with links to their profiles.
Edit an HQ Role Access
Click Edit on a row to:
- See which dashboards are available and visible for that security role.
- Click +Show More to expand and see the full list of HQ dashboards included.
- Assign or reassign security roles to that HQ Role Access type.
- Click Save Access to apply your changes.
Migrate Current Staff
If you've updated any settings and want them to take effect for members of your company immediately, use the Migrate Current Staff button.
- Select All, or multi-select roles using the checkboxes.
- Click the Migrate Current Staff button.
- On the confirmation prompt, click Submit.
Submitting will give all staff across the company in the selected security role(s) immediate access to ALIS HQ dashboards for their associated communities.
The top-right corner of the page shows the Staff Last Migrated timestamp so you can confirm migrations are up to date.
For assistance with customizing your company's security roles, contact your Account Manager.
Community tab
The Community tab manages HQ Role Access at the community level. While Company Roles applies access broadly across security roles, the Community tab allows you to manage access for specific staff in specific communities.
Review Current Access
For each row, the tab shows:
- Staff Assigned: The number of staff with this level of access in the selected community. Click the linked number to see exact staff members.
Edit Community-Level Access
Click Edit to:
- See the dashboards available for that role (click +Show More to expand the full list, same as the Company Roles tab).
- Add or remove specific staff profiles individually.
- Note: This is the key difference from the Company Roles tab; access here is managed by individual staff rather than by security role.
- Click Save Access to apply your changes.
Reports tab
The Reports tab allows company administrators to control which shared HQ reports appear in the report selector for their staff. This works in combination with role-based permissions: a report must be both included by the company and permitted by the user's role to appear.
Default Behavior
All reports shared with your company are enabled by default, and when the ALIS team shares a new report with your company, it defaults to enabled in your curated list automatically.
Manage Report Visibility
To remove a report from the selector or update your company's curated list:
- Review the list of reports shared with your company.
- Individually click Disable next to that report. To do so in bulk, multiselect reports to the left of the table and click Disable Selected.
- Your changes save automatically.
⚠️Important: Removing a report here removes it from the main ALIS HQ Dashboards selector page for all staff, regardless of their role permissions. To restore visibility, toggle the report back to Enabled.
Audit tab
The Audit tab provides a history of all access changes made in ALIS HQ Settings. It is useful for reviewing who has been granted, updated, or removed from HQ access and when.
What the Audit Tab Shows
Entries in the audit log include:
- Action: Assigned, Updated, or Removed.
- Timestamp: When the change was made.
- Staff: Which staff member made the change.
Filtering the Audit Log
Use the filters at the top of the tab to narrow down changes by date range and which staff made settings updates. The Notes field allows you to search the audit log by keyword.
