Read on to learn what steps you can take to keep your resident Occupancy stats accurate in ALIS.
Room Assignments
The largest piece of the puzzle is making sure your resident room assignment details are accurate.
Look to the Room Assignment report to review the details for each resident, paying special attention to these columns:
- Room # (room number and bed)
- Start Date*
- Room Type
- Room Category
- Occupant Type (Primary or Secondary)
*IMPORTANT: The Start Date that guides all occupancy reporting in ALIS is the room assignment start date.
This is possibly different from the record you in have in ALIS for Physical Move In Date or Financial Move In Date.
To edit this, go to a resident's profile and open the Move In & Community Information section. In the middle of the section are the Room Assignments settings, where you can change a resident's room assignment and edit the room assignment start date.
If the room type and/or category associated with the room number is not correct, this can be updated in the Floor Plan settings. To learn more about configuring the Floor Plan, read this article: How to Configure a Community Floor Plan
Residents are Primary occupants by default, and if you assign another resident to the same unit (this would be the same bed, not just the same room), you must set one of the two residents as a Secondary occupant. This is most likely done for married couples who share a bed at your community.
Hotel Rules
The default setting is for occupancy to follow "Hotel Rules", meaning that the room is occupied on the day of the move-out. This is can be disabled in Floor Plan settings, which would make the day before a move-out the last day of occupancy.
Reports
The most informative report about one building's occupancy is the Unit Occupancy Report. Here we have perspective on the details of each unit. Read this article for more information: Unit Occupancy Report Reference Guide
