This guide provides a list of available Rent Roll columns and describes how they are calculated. Use this as a reference for selecting the specific columns you want to see on your ALIS Rent Roll!

Occupancy Columns
Combined with Unit If an occupant has two room assignments, each unit will will display the other unit in this column.
Financial Move In Date This date is set upon move in, and can be changed at any time on the resident's profile in the Move In & Community Information section. Unlike the Physical Move In Date, the Financial Move In Date can impact the data on occupancy reports.
Financial Move Out Date This date is set upon move out, and can be changed at any time on the resident's profile in the Move In & Community Information section. This can also be added prior to move out. Unlike the Physical Move In Date, the Financial Move Out Date can impact the data on occupancy reports.
Loss to Lease This is a dollar amount that reflects the difference between a current occupant's rent-coded Recurring Charge amount and the Market Rate set for the room. If there is no occupant in the filtered month, this value will be blank. Instead you might review the Loss to Vacancy column for this particular unit.
- Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Loss to Vacancy This is a dollar amount that reflects the number of unoccupied days at the Market Rate set for the room. If there is no occupant in the entire filtered month, this column will display the entire Market Rate for the room.
Occupant Type This column will either display Primary or Secondary for each occupied unit. This can be changed at any time on the resident's profile in the Move In & Community Information section.
Resident Days This value is the number of days a unit is occupied during the filtered month.
Shared Unit If more than one residents share a unit, this column will display 'True'. For all units that are not shared by more than one resident, this column will display "False".
Unit Start Date Room Assignment Start Date.
Rent Charge Columns
Daily Rent Rate This is the daily rate based on the amount of the resident's rent-coded Recurring charge.
- This is calculated by dividing the monthly amount of the charge by the number of days in the filtered month, or the monthly rate multiplied by 12 months and then divided by 365 days if your community has the setting enabled on the Billing Settings page: "Prorate monthly amounts based on a fixed 365 day year".
- Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Last Rent Increase Date This date reflects the last time the resident's rent-coded Recurring Charge was increased using the Add Rate Change option.
- Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Lease Termination Date This is either the end date of the recent-coded Recurring Charge for an occupant, or it is the termination date of the Residency Agreement for the unit.
Recurring Rent Charge This is the amount of the occupant's rent-coded Recurring Charge. Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Rent 2 Months Ago This displays the amount of the occupant's rent-coded Recurring Charge two months ago. Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Rent 3 Months Ago This displays the amount of the occupant's rent-coded Recurring Charge three months ago. Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Rent Last Month This displays the amount of the occupant's rent-coded Recurring Charge one month ago. Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Floor Plan Columns
Description This column will display text entered in the Description field for the room on the Floor Plan page.
Market Rate This is a value set for each unit regardless of occupancy. Market Rates can be set on the Floor Plan page for your community. This is important to set up for each unit in order to calculate Loss to Lease and Loss to Vacancy columns.
Room Category Room Category is optionally set for each unit. These can be set on the Floor Plan page for each community. Typically room categories correspond to the Product Type of their occupants. Unit Room Categories will display as separate tables on the Unit Occupancy report.
Room Type Room Type is optionally set for each unit. These can be set on the Floor Plan page for each community. Typically room types correspond to the physical features of the room (e.g. studio, 1 bedroom) and determine pricing.
Size Size is the square footage set for each unit. These can be set on the Floor Plan page for each community.
Unit Name or number of the unit.
Care Columns
Care Level This is determined by points accumulated on a resident's most recently completed Evaluation and Service Plan. This can be overridden by an administrator while completing the Service Plan. Settings for Care Levels, Points, and Fees are adjusted on the Resident Evaluation Tool Settings page.
Care Level Fee This is associated with the resident's Care Level, which is determined by points accumulated on a resident's most recently completed Evaluation and Service Plan. This can be overridden by an administrator while completing the Service Plan. Settings for Care Levels, Points, and Fees are adjusted on the Resident Evaluation Tool Settings page.
Care Level Points This value is determined by the answers to questions on a resident's most recently completed Evaluation and Service Plan. The points can be overridden by an administrator while completing the Evaluation or Service Plan. Settings for Care Levels, Points, and Fees are adjusted on the Resident Evaluation Tool Settings page.
Care Level Variance This is a dollar amount that will reflect the difference between the resident's evaluated Care Level Fee and the amount of the resident's care-coded Recurring Charge.
- The Care Level Fee is associated with the resident's Care Level, which is determined by points accumulated on a resident's most recently completed Evaluation and Service Plan. Settings for Care Levels, Points, and Fees are adjusted on the Resident Evaluation Tool Settings page.
- Care-relevant Billing Items can be coded as "Care" in the Report Configuration tab of the Rent Roll. This requires that your care-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Care Packages Care Packages are added to an occupant's Service Plan based on specific answer choices on their Evaluation. These are often "a la carte" services where they may incur a fee separate from the total calculation of Care Level Points on an evaluation, such as Medication Management or Memory Care service. Care Packages settings can be adjusted on the Resident Evaluation Tool Setting page.
Care Packages Fee This fee is associated with any Care Packages added to an occupant's most recent Service Plan. This can be overridden by an administrator while completing the Service Plan. Care Packages settings can be adjusted on the Resident Evaluation Tool Settings page.
Resident Details Columns
Classification This is a way to classify your residents into different groups, and is selected in the Basic Information section of a resident's profile. Settings for Classifications are adjusted on the Resident Settings page.
Physical Move In Date This date is set upon move out, and can be changed at any time on the resident's profile in the Move In & Community Information section. This can also be added prior to move out.
Physical Move Out Date This date is set upon move in, and can be changed at any time on the resident's profile in the Move In & Community Information section.
Product Type This is a way to classify your residents into different groups, and is selected in the Basic Information section of a resident's profile. Settings for Product Types are adjusted on the Company Settings and Resident Settings page.
Resident The resident/occupant's name.
Resident ID Number assigned to an occupant upon creation of their profile in ALIS. This corresponds to the URL for the resident's profile. This is unlike the Resident Record #, which can optionally be set in the Basic Information section of the resident's profile.
Resident Record # An optional number set on the Basic Information section of the resident's profile. This is unlike the Resident ID, which is a number assigned to all occupant profiles upon creation in ALIS and corresponds to the URL for the resident's profile.
Total The sum of all revenue associated with the occupant's account for the filtered month.
Report Configuration Columns
You can use the Report Configuration tab to group GL Account #s to create columns for Rent, Care, Credits, Discounts, or potentially separate revenue by AL or MC. Learn more in the Rent Roll Reference Guide.
Other Concessions This is a generic column for all non-grouped GL Account #s in the Concessions section of the Report Configuration tab, and there may be no need to view it if there are no GL Account #s in this category. Specific GL Account #s are often grouped to create Rent Concessions and Care Concessions columns.
Other Income This is a generic column that reflects non-grouped GL Account #s in the Income section of the Report Configuration tab, and there may be no need to view it if there are no GL Account #s in this category. Specific GL Account #s are often grouped to create Rent and Care columns for AL and MC. It is common to use the Other Income column to capture the GL Account #s of incidental-type Billing Items.
