This guide lists the available columns that can be displayed on the ALIS Rent Roll and explains how each value is calculated. Use this as a reference when selecting which columns to display in the Report tab of the Rent Roll.

Occupancy Columns
These columns provide information about room assignments, occupancy status, and occupancy-related calculations.
Note: Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Combined with Unit
If a resident/occupant has two room assignments during the filtered period, the additional unit appears in this column.
Financial Move In Date
The date used for financial reporting when a resident moves in. This value can be edited on the resident profile in the Move In & Community Information section. Unlike the Physical Move In Date, this date affects occupancy reporting.
Financial Move Out Date
The date used for financial reporting when a resident moves out. This value can be edited on the resident profile in the Move In & Community Information section and may be entered before the move-out occurs. Unlike the Physical Move Out Date, this date affects occupancy reporting.
Loss to Lease
The dollar difference between a resident’s rent-coded Recurring Charge and the Market Rate set for the unit. If the unit is unoccupied during the filtered month, this column will be blank.
Actual Loss to Lease
The dollar difference between the Market Rate set for the unit and the Actual Rate - Rent.
Loss to Vacancy
The dollar value of unoccupied days for a unit, calculated using the Market Rate. If the unit is vacant for the entire filtered month, this column displays the full Market Rate.
Occupant Type
Indicates whether the resident is a Primary or Secondary occupant of the unit. This can be edited on the resident profile in the Move In & Community Information section.
Resident Days
The number of days the unit was occupied during the filtered month.
Shared Unit
Displays True if multiple residents share the unit and False if the unit is occupied by a single resident.
Unit Start Date
The Room Assignment start date of the resident’s room assignment.
Rent Charge Columns
These columns reflect rent-related charges and historical rent data.
Rent-related values depend on billing items being mapped to Rent GL Account numbers in the Report Configuration tab.
Note: Rent-relevant Billing Items can be coded as "Rent" in the Report Configuration tab of the Rent Roll. This requires that your rent-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Daily Rent Rate
This is the daily rate based on the amount of the resident's rent-coded Recurring charge.
This is calculated using one of the following methods:
- Monthly charge ÷ number of days in the filtered month
- Monthly charge × 12 ÷ 365 (when the Prorate monthly amounts based on a fixed 365 day year setting is enabled in Billing Settings)
Last Rent Increase Date
The most recent date when the resident’s rent-coded Recurring Charge was increased using the Add Rate Change option.
Lease Termination Date
The end date of the resident’s rent-coded Recurring Charge or the termination date listed in the Residency Agreement.
Recurring Rent Charge
The resident’s current rent-coded Recurring Charge amount.
Rent Last Month
The resident’s rent-coded Recurring Charge amount from the previous month.
Rent 2 Months Ago
The resident’s rent-coded Recurring Charge amount from two months prior.
Rent 3 Months Ago
The resident’s rent-coded Recurring Charge amount from three months prior.
Recurring Revenue Columns
These columns provide visibility into the recurring charges active at the end of the selected reporting period and are commonly used to review recurring revenue totals at month-end.
Actual Rate - Rent
Displays the resident’s recurring rent charge that was active on the last day of the selected month.
Actual Rate - Care
Displays the resident’s recurring care charge that was active on the last day of the selected month.
Floor Plan Columns
These columns reference details configured in the community Floor Plan.
Description
Displays the text entered in the Description field for the unit on the Floor Plan page.
Market Rate
The monthly market rate assigned to the unit. Market Rates are configured on the Floor Plan page and are used to calculate Loss to Lease and Loss to Vacancy.
Room Category
An optional category assigned to the unit. These categories are configured on the Floor Plan page and often correspond to resident Product Types.
Room Type
An optional classification describing the physical features of the unit (for example, Studio or 1 Bedroom). Room Types are configured on the Floor Plan page and often influence pricing.
Size
The square footage assigned to the unit.
Unit
The name or number of the unit.
Room Assignment Display
Room assignments appear for both current and moved-out residents.
When reviewing historical periods, the most recent room assignment for a moved-out resident appears followed by “(m/o)” to indicate move-out status.
If the resident did not have a room assignment during the filtered reporting period, the column remains blank.
Care Columns
These columns reflect information from a resident’s Evaluation and Service Plan.
Note: Care-relevant Billing Items can be coded as "Care" in the Report Configuration tab of the Rent Roll. This requires that your care-relevant Billing Items have GL Account #s that are distinct from the other Billing Items.
Care Level
The resident’s care level based on points from the most recent Evaluation and Service Plan. Administrators can override this value during Service Plan completion.
Care Level Fee
The fee associated with the resident’s Care Level.
Note: This fee total can be overridden by an administrator while completing the Service Plan. Settings for Care Levels, Points, and Fees are adjusted on the Resident Evaluation Tool Settings page.
Care Level Points
The number of points accumulated based on responses in the resident’s most recent Evaluation.
Note: The points can be overridden by an administrator while completing the Evaluation or Service Plan. Settings for Care Levels, Points, and Fees are adjusted on the Resident Evaluation Tool Settings page.
Care Level Variance
The difference between the evaluated Care Level Fee and the care-coded Recurring Charge applied to the resident.
Care Packages
Optional services added to a resident’s Service Plan based on Evaluation responses (for example, Medication Management or Memory Care services).
Care Packages Fee
The total fee associated with the resident’s Care Packages.
Note: This can be overridden by an administrator while completing the Service Plan. Care Packages settings can be adjusted on the Resident Evaluation Tool Settings page.
Resident Details Columns
These columns display identifying or demographic details from the resident profile.
Classification
A configurable grouping used to categorize residents. This is set in the Basic Information section of the resident profile.
Physical Move In Date
The resident’s actual move-in date recorded in the Move In & Community Information section.
Physical Move Out Date
The resident’s actual move-out date recorded in the Move In & Community Information section.
Product Type
A configurable category used to group residents (for example, Assisted Living or Memory Care).
Resident
The resident/occupant's name.
Resident ID
The system-generated identifier assigned when the resident profile is created. This ID corresponds to the resident profile URL.
Resident Record #
An optional identifier set in the Basic Information section of the resident profile.
Total
The sum of all revenue associated with the resident’s account during the filtered month.
Report Configuration Columns
Columns in this section are generated based on the GL Account groupings created in the Report Configuration tab.
Administrators can group GL Account numbers to create reporting columns such as:
- Rent
- Care
- Credits
- Discounts
- Service-specific revenue categories
Other Concessions
Displays concession-related GL Accounts that are not grouped into specific concession categories.
Other Income
Displays income-related GL Accounts that are not grouped into specific income categories. This column often captures incidental billing items.
