The Documo eFax integration allows communities to send and receive fax documents directly within ALIS. Inbound faxes are automatically delivered to the Document Center, and outbound faxing can be completed without leaving the page.
Benefits of eFax
This integration helps teams manage fax communications more efficiently by keeping all documents centralized in one system.
Key capabilities include:
Inbound faxing – Faxes sent to a community’s assigned fax number are automatically delivered to the Document Center.
Outbound faxing – Users can send documents directly from ALIS to a recipient’s fax number.
Fax activity tracking – Users can monitor delivery status and retry failed sends from the Outbound tab.
Centralized document management – Fax documents can be viewed, downloaded, routed, or forwarded just like any other inbound document.
Enable ALIS eFax
To enable eFax functionality for your organization, contact your ALIS Account Manager.
Your Account Manager will coordinate the setup process, which may include:
Provisioning a new fax number
Porting an existing fax number from your current fax provider
Completing the technical configuration required to connect Documo with ALIS
Once setup is complete, inbound faxes will begin routing directly into the Document Center, and outbound faxing can be enabled for communities.
Important Note: This feature will require an additional cost to your ALIS subscription.
Access eFax
Efficiently navigate to the Document Center by clicking on the Dashboard icon.
Receiving eFaxes
When inbound faxing is enabled for a community, faxes sent to the assigned fax number will appear automatically in the Document Center.
Assist others who may send you documents by providing your ALIS community's fax number. This number is located above the tabs in the Document Center page.
When documents are received, users can:
View the fax.
Download and print the document.
File the document to other ALIS locations (Resident or Staff Compliance, Miscellaneous, Prescriptions, Evaluations, Service Plans). Read this Document Center Reference Guide for step-by-step instructions.
Forward the document internally or externally.
Access a Received Fax
Once documents are received, they will appear in the New tab.
Navigate to the Document Center.
Locate the fax in the New tab.
Forward Received Documents
- Locate the document card.
- Click the Fwd button.
- Search for an existing contact, or manually type the Recipient Name and Recipient Fax # in the fields.
- Review Sender Name (pre-populates to community name) and update if needed.
- Type the Subject and message (optional) of your cover page.
How to send documents via eFax
To begin the process, click the Send Documents button located in the top-right corner. This will open the eFax sending workflow, which consists of three steps: choosing a recipient, adding documents, and finalizing the fax.
Step 1 of 3: Choose Recipient
Select the fax recipient.
Choose the recipient from the dropdown menu (list of existing Community Contacts), OR

Enter contact details manually:
Enter the recipient’s name.
Enter the fax number in the appropriate field.
Once the recipient information is complete, click Next.
Step 2 of 3: Documents
Add the documents you want to send with the fax.
You can add documents using any of the following methods:
Click + Add Resident Documents.
Drag and drop files into the upload area.
Click Browse to upload a file from your device.
Using + Add Resident Documents
The + Add Resident Documents option allows you to attach documents already stored in ALIS. Documents added from resident profiles and uploaded files can be combined in the same fax.
Examples include:
Prescriptions
Compliance documents
Miscellaneous resident documents
To add resident documents:
Click + Add Resident Documents.

Select the Applicant or Resident profile.
Note: Only one applicant/resident can be selected at a time.
Available document categories will appear.
Click Show next to a category to view available documents.
Use the checkboxes to select documents.
Click Add Documents.
You will remain on Step 2 so additional documents can still be uploaded if needed. If you have added all documents for this fax, click Next.
Step 3 of 3: Finalize & Send
- Review Sender Name (pre-populates with Community Name).
- In the Cover Page section, add a Subject (title for your eFax cover page).
- Enter an optional message.
- Review the documents included.
- Click Send Documents.
View Outbound Fax Activity
Users can monitor sent faxes in the Outbound tab.
Access the Outbound Fax Log
- Navigate to the Document Center.
- Select the Outbound tab.
The Outbound tab displays:
- Sent fax history
- PDF previews
- Delivery status
- Failed send attempts
Retry a Failed Fax
If a fax fails to send:
- Locate the failed fax in the Outbound tab.
- Click Retry to attempt delivery again.
Troubleshooting
Fax not appearing in the Document Center
Check the following:
- Confirm the fax was sent to the correct fax number.
- Allow several minutes for the fax to process.
- Verify the fax number is assigned to the correct community.
If the issue persists, contact ALIS Customer Success or your Account Manager.
Fax failed to send
Possible causes include:
- Invalid fax number
- Recipient fax machine unavailable
- Temporary delivery interruption
To resend the fax:
- Open the Outbound tab.
- Locate the failed fax.
- Select Retry.
FAQs
Where do inbound faxes appear? Inbound faxes are delivered to the Document Center for the community associated with the fax number.
Why don’t I see the Send Fax option? Outbound fax functionality may not be enabled for your community. Contact your system administrator or ALIS Account Manager.
Can we keep our existing fax number? Yes. Existing fax numbers can typically be ported to the Documo fax service during setup.
