In the Prospects section of the Reports page, three different reports take you to the Prospect Address Book.
These reports are:
- Prospect Contacts
- Prospect Details
- Referral Source Details
This guide explains how to create mailing labels for any of these contact details stored in ALIS.
Access the Prospect Address Book
Click any of the above-mentioned reports to get to the Prospect Address Book.
-
- Each tab has unique filters that pertain to the different contact types, but the mailing labels will include all the same information:
- Contact Name
- Organization
- Address Line 1 with street and unit information
- Address Line 2 with city, state, and zip code information
- Each tab has unique filters that pertain to the different contact types, but the mailing labels will include all the same information:
Filter the report for the contacts you need to print
Select the tab that includes the contacts you need to print, and update filters to show only the contacts you need. Here are some default filters applied to the specific reports tabs:
- In the Prospects tab, notice that the Inquiry Date filter is only showing by default the Prospects that inquired in the most recent 30 days. You may choose to update this to a longer date range to show more Prospects. Only some of the default Stages will be selected by default.
- In the Contacts tab, by default the checkboxes are checked to show 'Main Contacts Only' and 'Prospects With No Main Contact'. Only some of the default Stages will be selected by default.
- The Referral Sources tab shows basically all Referral Sources by default, except any that have been marked Disabled. Use the Status filter to update this if you want to see any non-active Referral Sources.
Generate Mailing Labels
Once you have sufficiently filtered one of the report tabs, click the Generate Mailing Labels button.
- The resulting pop-up suggests using the ALIS Provided Template, or you can upload your own custom template.
- When you check off "Only print labels with complete address information", ALIS will not waste the label space on the printer template displaying only a name with no address.
- When you click "Record a prospect task for each record", this will allow you to select a Task Type, and when you Generate the labels, it creates a record in Prospect Tasks. Prospect and Referral Source Task records help track activities completed for the contacts.
- For more information about Prospect Tasks, read the Tasks section in this article: Guide to ALIS Prospects and Referral Sources
- Click Generate!
The Mailing Label file will save to your computer as a PDF for you to review before printing.
