This job aide outlines how to record Routine and PRN medications in ALIS. Download and share this with staff as a reference tool during your eMAR 'Go-Live'.
Routines
Step 1: Login to ALIS and click on the Pass Meds icon.
The red circle is a visual alert of the number of medications not yet recorded.
Step 2: Utilize the filters to organize your view of resident medications.
For example, you can click the “Med Cart” dropdown and select a specific med cart. This will allow you to view only the list of resident medications on the selected cart.
Any filters you select on this main Pass Meds screen hold once in a specific resident's Pass Meds page and will streamline navigation to other residents' Pass Meds pages.
Step 3: Click Pass Meds to view and begin recording medications for this specific resident.
This brings you to the full list of the selected resident’s routine medications scheduled during this med pass time frame.
Step 4: To record your med pass, select the outcome (Passed, Refused, Adverse Reaction, or Other) on the right side of each medication, and click Record Med Pass.
Step 5: Once all medications have been successfully recorded for this resident, scroll to the top of your screen, and click the dropdown menu to navigate to your next resident's Pass Meds page.
Reminder: The filters you previously selected will remain once in this resident's Pass Meds page. For example, If you filtered your last page by Med Cart, then the dropdown will show only residents assigned to that Med Cart.
PRNs in Pass Meds
You have the option to administer PRNs from within a resident's Pass Meds page.
Step 1: Click on the PRNs tab.
Step 2: Identify the medication you will administer, and click Administer.
Step 3: Review the Dose Administered, Date, and Time for accuracy. Then type in a Purpose statement to indicate why you are administering this PRN medication.
Step 4: Click Record PRN.
Once you record a PRN, “Outcome Due” will appear to be recorded at a specified time. You can return to this resident’s Pass Meds page when it is time to type the outcome and click Record Outcome.
If your Recorded Outcome is not due for some time, you can exit Pass Meds and return to the Dashboard.
PRNs from the Dashboard
If you have navigated away from Pass Meds and need to administer PRNs or record an outcome, follow the steps below.
Step 1: Go to your Dashboard, and click on the Administer PRNs icon.
Step 2 (Record PRN): From the Administer PRNs page, choose a resident name and click Administer PRNs to access a resident’s available PRN medications.
Step 3 (Record Outcome): From the Administer PRNs page, and at the specified time, type the Outcome statement and click Record Outcome.
Helpful Hints
- If you see the medication’s scheduled time in yellow, this indicates that it is too early to pass the medication based on when it is scheduled (Routine) or when it was last passed (PRN). Click on the “WAIT” tag for specific time information.
- If you see the medication’s scheduled time in red, this indicates that it is past the appropriate range to administer the medication based on your Variance Threshold setting. (Note that the default setting is one hour before and one hour after.) Click on the “LATE” tag for specific time information.
- If you select Refused as the outcome, it is recommended to write an objective statement as to what occurred in the “Notes” text field.
- If you select Other as the outcome, you will be required to state the reason for the exception either by typing it in to the "Reason" text field or by choosing an option from the provided dropdown menu.
- You can request medication refills directly from this Pass Meds page! Depending on your pharmacy connection type, you will see an eFax Refill or Request Resupply button. Click on that button, and type in your message to the pharmacy. This will transmit a message directly to your pharmacy notifying them of the refill request.
