Records Requests is a data generation tool that allows community or company leaders to efficiently pull a resident's legal records when requested by a legal firm or representative.
Access Records Requests
Access to this feature is restricted to specific security role permissions. Typically, only designated Community or Company Administrators will have access.
For assistance with enabling this feature or updating security role permissions for your company, contact your Account Manager or our ALIS Customer Success Team.
Step 1: Print Center
Navigate to the Care dropdown menu and select Print Center.
- Once in the Print Center, navigate to the Records Requests tab.
- Click on the Generate Records button to begin.
Step 2: Set File Download Parameters
A pane will open on the right side of your screen. Fill in the following details to customize your request:
Resident Name: Search for or select the resident from the dropdown list.
Date Range: Specify the time period for the records. You can pull data from as far back as your community has been using ALIS.
Notification Email: Enter an email address here to receive a real-time notification once the file is ready.
-
Select Records: Choose the specific file types you wish to include.
Note: Options here are enabled in your Company Settings > Records Requests. For information on how to set and manage these file options, refer to this Records Requests Settings guide.
Provide Consent: Read the Consent for Release of Information and check the I agree checkbox.
Click Generate Request to start the file download process.
File Processing
Large requests may take some time to compile. You can safely navigate away from the Print Center and continue other tasks while ALIS works in the background.
Tracking Progress: Click the briefcase icon (Recent Jobs) at the top of any ALIS page.
Background Task Details: Click the Details link to see the real-time status of your file download.
Step 3: Email Notification & Download Zip
When the records have finished processing:
Email Notification: The recipient listed in the Notification Email section will receive an email. Click the View Records Request link in the email to return to ALIS.
Download Files: In the Records Request tab, click Download Zip. The folder containing your requested files will be saved to your device, ready to be printed or electronically shared with the requesting party.
